Briefra Order Editing

Setup guide

Setting up takes a few minutes and you only do it once. Steps 1 and 2 are all you need for customers to start editing their orders.

1. Install the app

Install Briefra Order Editing from its Shopify App Store listing and approve the permissions it asks for. The app opens on its Home page, which lists the setup steps below and marks each one done.

You start on the Free plan. To try a paid plan, open Plan in the app; every paid plan starts with a 14-day free trial.

2. Turn on the Edit order button

Shopify doesn't add app buttons to customer accounts for you. After you install the app, your customers only see Edit order on their order page and Orders list once you place it in Shopify's checkout and accounts editor. It takes about a minute, and you only do it once.

  1. In your Shopify admin, go to Settings > Customer accounts and click Customize. (Settings > Checkout > Customize opens the same editor; the button on the app's Home page goes to Settings > Checkout.)
  2. In the page menu at the top of the editor, choose Order status page.
  3. Open the Apps panel and find Briefra Order Editing.
  4. Click the + next to Edit order.
  5. In the Add action to pop-up, choose Orders and Order status.
  6. Click Save.

Customers now see Edit order next to Buy again on the order page, and on the Orders list. The button only shows while an order can still be changed (inside your edit window and before fulfilment).

Check it worked: open one of your orders in customer accounts, for example from the "View your order" link in an order confirmation email. The app's Home page shows this step as Done, with the date and time, once the button has loaded for a customer.

  • The button needs Shopify's new customer accounts. Stores still on legacy customer accounts use the email link instead.
  • Apps on the Order status page need the Basic Shopify plan or higher.
  • If you uninstall and reinstall the app, check the button is still placed. Home shows the step as to do again until the button next loads for a customer.

3. Set the edit window and rules

In the app, open Settings.

Edit window

How long after ordering customers can make changes: from 1 minute up to 30 days (1 hour to begin with). The window always closes early once fulfilment starts: when any item is fulfilled, or the order is sent to or accepted by a fulfilment service. The app re-checks this with Shopify right before saving every change. The edit window is on every plan.

Address changes

Shopify doesn't recalculate shipping on an edited order, so by default a new address must be in the same country as the order. Turn on Allow address changes to another country if your shipping rates make that safe. Either way, a new address can only be in a country your store ships to, and it's checked before it's saved.

What customers can do, and products they can't change Pro

Choose which changes are allowed: the shipping address; swapping an item for another size or colour; changing quantities; removing items; adding items; and cancelling the whole order (refunded to the original payment method and restocked). You can also list products, or product tags, that customers can't change.

These are Pro settings, on the Pro and Scale plans. On Free and Starter every change is allowed and nothing is excluded. Anything you save there is kept if you move to a lower plan, and comes back when you upgrade.

Upsell during edits Pro

Offer products, or a collection, while the customer is editing, with an optional discount of up to 90%. Items added from the upsell are part of the same edit and settled the same way.

This adds an Edit your order button to your order confirmation email. It's how customers get in on stores with legacy customer accounts, and optional with new customer accounts (the email's "View your order" link already opens the order page with the Edit order button).

  1. In the app, open Email link and copy the snippet.
  2. In your Shopify admin, go to Settings > Notifications > Customer notifications.
  3. Click Order confirmation, then Edit code.
  4. Paste the snippet where you want the button, for example on the line before {% if requires_shipping or just after the order summary.
  5. Click Save. Use Send test email, or place a test order, to see the button.

The snippet contains your store's private link key. Keep it in the template only. If it gets out, make a new key on the app's Email link page: every link already sent stops working, and you paste the new snippet.

What customers see

  • What they can still change, and how long is left in the edit window.
  • The new total and the difference before they confirm. An address change can change the tax, so its effect is shown as "may change" until it's saved.
  • Shopify's updated order email after the change. The order keeps its number.
  • If something can't be changed, a plain reason and how to contact your store, instead of an error.
  • On the Free plan, a small "Powered by Briefra" line on the edit screens.

Orders that can't be edited

Some orders can't be changed online, because Shopify doesn't allow it or it isn't safe. The customer sees a plain reason:

  • orders where any item is fulfilled, or that a fulfilment service has been asked to fulfil;
  • local delivery orders and Shop Pay Installments orders;
  • imported orders, and orders containing product bundles (bundles can't be added either);
  • subscription orders, B2B orders and gift card lines;
  • archived or cancelled orders;
  • orders whose payment is pending or not fully captured, or with an unpaid balance from an earlier edit;
  • any other order Shopify itself marks as not editable.

Refunds, balances and the payment hold

What happens to the price difference after an edit
New totalWhat happens
LowerThe difference is refunded to the original payment method straight away.
HigherThe edit is saved and Shopify emails the customer an invoice for the balance. The app puts a hold on the order's fulfilment ("awaiting payment") so it can't ship unpaid, and releases its hold automatically once the balance is paid.
The sameSaved straight away.
CancelledCancelled, refunded in full to the original payment method, and restocked.

A swapped item is priced at the variant's current price, and a discount on the old item doesn't carry over to the new one, so a swap can change the total. The customer always sees the difference before confirming.

Buyer-requested edits

Shopify also lets customers ask for an edit, such as removing an unfulfilled item, from their account. In Settings > Buyer requests made through Shopify, choose what the app does with them:

  • approve requests that meet your rules and leave the rest for you (recommended, and the default);
  • leave every request for you;
  • approve requests that meet your rules and decline the rest, telling the customer why.

"Your rules" are the same as for edits in the app: the edit window, the fulfilment lock and any exclusions.

How alerts work

Alerts are emailed from alerts@briefra.com and shown on the app's Home page.

  • On every plan, to your store's email: anything you need to act on, such as an edit that only partly worked (the alert says exactly which step succeeded and which didn't), a cancellation that failed, or editing paused because the month's order limit was reached.
  • On Pro and Scale Pro: alerts for every cancellation and for edits over an amount you set (100 to begin with; set 0 to turn them off), and a separate address for alerts.

Add alerts@briefra.com to your contacts so alerts don't land in spam. Dates and times in the app and alerts are in your store's time zone, as set in Settings > General.

  • Starter removes the "Powered by Briefra" line. Pro and Scale add the Pro settings: rules and exclusions, upsell, and alerts.
  • What counts: every order your store receives in the billing month counts once, whether or not it's edited. Customers can edit an order as often as your rules allow.
  • At the limit: from the 101st order of the month on Free (301st on Starter, 3,001st on Pro), new edits pause until the next billing month or until you upgrade. Customers see "This store isn't taking changes to orders online at the moment. Please contact the store to change your order." An edit already under way always finishes, buyer requests are left for you, and you get one alert for the month.
  • Plans are billed in US dollars through Shopify. Change plan from Plan in the app.

Uninstalling and your data

  1. If you added the email link, remove the snippet from your Order confirmation template first, so new emails don't link to an edit page that no longer works.
  2. In your Shopify admin, go to Settings > Apps, find Briefra Order Editing and uninstall it.

Shopify stops billing for the app, and the Edit order button goes with it. The app's access to your store is deleted at once, and everything else it holds for your store (settings, the edit log, alerts) is deleted 48 hours later, when Shopify tells us to. To have it deleted sooner, email support@briefra.com. See the privacy policy for the details.
